Dear Campus Community,



As part of the move to MS Outlook and M365, the software on your computer
will need to be updated ahead of time.



- Users with managed computer systems will receive an update over the network.

- Users with non-managed systems will be able to install the new software
themselves, see information at the bottom of this message.



Note: Managed systems are most EV and some A0 barcodes that prompt you to
login with your uregina username and password, and have Zenworks software
installed.



When is this happening?

- Starting at 9:00am on Monday, April 22, 2024 an update bundle will be sent
out through Zenworks to managed computer systems.



What do I need to do?

- When you see a notification that says 'Downloading migration' you will know
your system is preparing for the update.

- Then you will see a prompt to update your system with choices for "OK" or
"Postpone."

- Click OK when you are ready to accept the software updates *** your system
will reboot as part of this process ***

- You can delay clicking OK until an appropriate time, such as leaving to
attend a meeting, at lunchtime, or when you're ready to leave at the end of
the day.

- You can click OK and wait, or lock your system as usual (Windows key-L).

- It will take about 20 to 30 minutes to complete, plus the system will
reboot (restart).

- It may take longer if you have not run Windows updates recently, as they
may install on reboot.

- If you choose to click 'Postpone' you will be prompted for the update again
the next day.

- Please ensure you accept this update BEFORE your scheduled move to
Outlook/M365. View Schedule

What will be changing?

- Your computer login will change to require your uregina Microsoft account
username AT uregina.ca<mailto:username AT uregina.ca> (instead of just your
username) with your same password.

- MS Office 2016 software will be removed, and Office 365 applications will
be installed.

- This includes Outlook, Word, Excel, PowerPoint, Access, OneDrive, and Teams.

- If you have Visio, Project or Publisher it will uninstall version 2016 and
install version 2019.

- Existing desktop icons and shortcuts will still be there after the update.

- Continue to use GroupWise until your Outlook transition date (see
Schedule<https://www.uregina.ca/is/m365/schedule.html>).

- Access to network drives will not change yet.

NOTE: If you use RDP to connect to your work computer from another system,
you will need to make a small change on your other system. In the RDP window,
click ‘Show Options’ – click Advanced tab – Check the box “use a web account
to sign in to the remote computer”. Please contact IT Support for assistance.

NOTE: If you have a softinstall account, you will need to enter the username
a bit differently. Instead of just choosing the account, you need to enter a
local account code along with the account name, ie: “.\username-softinstall”.



What if I don't have a managed system, or I want to install the software on
an additional device?

- You can install MS Office 365, Outlook and Teams software yourself.

- Users can install M365 on up to 5 systems (including your main work system,
laptop, home system and/or mobile devices).

- Go to https://www.office.com<https://www.office.com/> and Sign-in with your
uregina microsoft account username AT uregina.ca<mailto:username AT uregina.ca>

- Download the software by clicking "Install and More" at top right.

- Click "Install Microsoft 365 Apps" - an install file will download.

- Find the downloaded .exe (Windows) or .pkg (Mac) file and run it (likely in
your Downloads folder).

NOTE: If you have Office 2016 installed, you will need to uninstall it. If
you try to install Office365 it will advise you to remove Office 2016 first.

NOTE: If you have Visio, Project or Publisher version 2016 it will also need
to be uninstalled. If you still require the software, you can request an
update to version 2019 by submitting a Software Licence Request form (
https://ursource.uregina.ca/is/forms/software-licence-request.html ).

- To install MS Teams software, go to
https://www.microsoft.com/en-ca/microsoft-teams/download-app



NOTE REGARDING CASPUR REPORTS and MS Access Reports

- MS Access 32-bit programs will not run on 64-bit Access, and need to be
converted.

- Part of the update will include a new Caspur Reports menu.

- If a Caspur Report that you need to run is not showing in the new menu, you
will need to use a system that has not been updated to run it on.

- This should be rare as the top 300 most-used reports have already been
updated.

- Your unit may have a system set aside for this use, please check with your
administrator.
